Administrative Assistant

 




Administrative Assistant reporting to Senior Vice President
•    Manage administrative tasks
–    Manage calendar including scheduling calls and meetings
–    Arrange travel including hotels, flights and ground transportation
–    Track expenses and completing expense reports
–    Assist with general technical needs
–    Assist with twitter accounts for Maddy and Age Wave
•    Act as a liaison between Maddy and clients, associates, prospects, etc. including C-level executives
•    Support new business development and existing business activities
–    Draft and edit documents including memos, emails and letters
–    Coordinate next steps and activities
–    Prepare and coordinate call/meeting background materials with relevant meeting information (contacts, logistics, background, meeting PPTs and agenda)
•    Occasional personal assistance
–    Coordinating family travel
–    Making appointments
–    Running errands

General Office Support reporting to Chief Administrative Officer
•    General administrative assistance, including:
–    Manning reception desk: greeting incoming guests, signing for packages, etc.
–    General errands: lunch runs, errands, etc.
–    Keeping office supplies stocked
–    Managing kitchen supplies and tidiness
–    Assisting with expense reports
–    Retrieving mail and sending packages
–    Printing/binding sales decks and other printed materials

Experience
•    3-5 years administrative support
•    College degree preferred
•    Proficient with MS Office Suite (Outlook, Word, Excel, PowerPoint) and internet

Hours and Compensation
•    8:00-5:00 Monday-Friday
•    $35,000+ DOE
•    Health and dental insurance paid by company
•    Emeryville parking and commute-related bridge tolls paid by company
•    401(k) plan
•    5 days vacation for the first 12 months/10 days vacation per year after year one
•    5 days sick/PTO per year
•    Discretionary bonus
